Organizational Change Management, Communication and Technical Documentation Specialist
The University of Basel, Switzerland's oldest university, is ranked among the best in the world for its research excellence. With over 12,000 students and 5,000 scientists across seven faculties, it spans disciplines from the humanities and social sciences to the natural sciences. SciCORE, the University's Center for Scientific Computing, is seeking an experienced Organizational Change Management (OCM), Communication and Technical Documentation Specialist to drive and support change initiatives across the organization. Reporting jointly to the Associate Directors of IT Operations and Data Management & Services, this position plays a crucial role in research support at the university, ensuring smooth adoption of new processes, technologies, and services by faculty and researchers. The ideal candidate will develop and execute change management strategies, craft clear and engaging communications, maintain comprehensive technical documentation, and lead outreach efforts to ensure effective stakeholder engagement. Additionally, this role will help coordinate a university-wide project on the implementation of new data classification standards for research data.
Your position
Change Management:
- Develop and implement change management strategies to support organizational transformation and adoption of new processes, services, systems, and platforms.
- Conduct stakeholder assessments to identify resistance points and develop targeted change interventions.
- Lead change impact analyses and provide recommendations to minimize disruptions.
- Facilitate training programs, workshops, and engagement activities to promote change adoption among faculty and researchers.
- Act as a key liaison between the sciCORE leadership, sciCORE users and university partners to ensure alignment and successful implementation of change initiatives.
- Promote awareness of OCM principles within the sciCORE team, equipping team members with strategies to navigate and support change effectively.
- Coach and support the sciCORE technical teams, subject matter experts and internal stakeholders to ensure successful delivery of projects.
Technical Documentation:
- Maintain and manage internal and user-facing documentation, leveraging modern documentation-as-code processes and platforms.
- Work closely with the sciCORE technical teams and SMEs to translate complex information into user-friendly materials.
- Coordinate the development of user guides, standard operating procedures (SOPs), technical manuals, and FAQs tailored for researchers.
- Ensure accuracy, clarity, and accessibility of documentation for diverse audiences.
- Establish best practices and templates for organizational documentation.
Communication & Outreach:
- Design and execute clear, concise, and engaging communication plans tailored to faculty, researchers, and university administrators.
- Develop and manage outreach programs to ensure broad awareness and understanding of organizational changes, sciCORE services, resources, and new initiatives.
- Act as a liaison between the sciCORE team, the university central communication team, and other university support units to ensure alignment on communication and implementation strategies.
- Develop communication materials and templates, including emails, presentations, newsletters, web content, and social media updates as required.
- Help with the organization of information sessions, webinars, and community forums to foster engagement and collaboration.
- Monitor communication effectiveness and outreach success, adjusting strategies based on feedback and engagement metrics.
Project Coordination – Research Data Classification Implementation:
- Coordinate efforts for a university-wide project focused on implementing new data classification standards for research in the four key aeras defined by the project: landscape of research with sensitive data, IT security and associated technical services, legally compliant documentation and processes, and training.
- Facilitate stakeholder meetings, gather feedback, and address challenges
- Track project progress, manage timelines, and report on key milestones.
- Ensure proper documentation, training materials, and communication plans are in place to support adoption of new research data classification standards.
Your profile
Essential:
- Master's degree in a STEM field (e.g., Engineering, Computer Science, Data Science) or equivalent professional experience in a relevant technical domain.
- 5+ years of experience in organizational change management, project management, technical documentation, internal communications, or outreach roles.
- Familiarity with change management and project management frameworks (e.g., Prosci/ADKAR, Agile).
- Strong technical writing, editing, and presentation skills.
- Experience with project management, documentation and communication tools (e.g., Confluence, Jira, Microsoft 365, SharePoint, Wiki platforms, social media management tools).
- Ability to manage multiple projects and meet deadlines in a fast-paced research and academic environment.
- Strong interpersonal, stakeholder engagement, and facilitation skills.
- Proactive mindset with a problem-solving attitude and the ability to work independently.
- Strong proficiency in verbal and written English communication.
Desirable:
- Experience working in higher education or research environments.
- Knowledge of data classification principles and research data management best practices.
- Proven experience with version control systems, markup languages and documentation as code platforms (e.g., Git, Sphinx, Markdown, ReadTheDocs, MkDocs).
- Experience with ITSM practices (e.g., ITIL/FitSM frameworks).
- Experience with data analytics and visualization tools (e.g., Tableau, Power BI, Google Analytics).
- German (spoken and/or written).
